General Information

Description

This data set comprises the reporting data for the Libraries. Reports types are diverse and span multiple functional areas within library operations.

Purpose

Report data is stored for analysis by library staff and to fulfill reporting requirements, such as submission of Association of Research Libraries (ARL) statistics.

Technical Details

Specifications

Reporting data is stored primarily in spreadsheets or CSV files. Some reports are also PDF or rich text documents.

Correctness

Reports added to the archiving website are managed by the Collection Management Reporting Group (CMRG). This committee vets reports that are posted and reviews annual statistics and data when they are posted.

Representative Record

The data is stored on a server managed by the Library Technology Group (LTG). This group is accessible to approved library staff via a mapped network drive. The primary data manager is the LTG Data Strategist.

Dependencies

Most reporting data has been exported from integrated library systems (ILS) software, Voyager (1999-2015) and Alma (2015-present). Data has been exported through those systems reporting tools.

Data is used downstream by library staff with reporting or analysis needs.

Delivery Modalities

The data is made available on a portion of the Libraries' staff website:

Individual CSV, Excel, PDF or Word files may be downloaded from the website.

Lifecycle

Reporting data are generally captured on schedules that correspond to fiscal or academic cycles. CMRG pulls annual reporting data after fiscal years close on June 30. Some reports are run at the end of each semester or term. Data is extracted from source systems and posted on the reporting website.

New reports may be requested by library staff. CMRG will evaluate and approve reports for creation and posting.

The reports are not destroyed because this open access website does not contain sensitive or restricted data and they data may be used for historical analysis of library collections and services.

Disposition

The data is stored on network attached storage infrastructure within the Libraries' Linux computing base (LCB) infrastructure. This computing environment is subject to regular backups.

Relevant Processes

Data is obtained by CMRG members and posted to the website archive by LTG staff. Reports are reviewed by CMRG when requested and when problems are reported. As new reporting capabilities are made available in our source systems CMRG updates reports as needed.

Constraints

These reports do not contain sensitive information such as personally identifiable information and are not subject to retention requirements.
